Overview
PromoSpirit is a secure operations app for authorized administrators, employees, and approved PTA store representatives. This policy explains the information the app processes and how it is used.
Information we collect
- Account and contact information: name, username, email address, optional phone number, assigned role, and assigned stores.
- Authentication information: sign-in credentials and security tokens used to authenticate access. Passwords are transmitted securely to the PromoSpirit WordPress service and are not used for advertising.
- Store and order information: products, inventory, artwork approvals, customer and delivery details, order totals, fulfillment status, tracking numbers, refunds, commissions, and operational reports that an authorized user is permitted to access.
- User content: store logos, product artwork, order notes, support or refund requests, and customer-chat messages submitted through PromoSpirit services.
- Device information: an Expo push-notification token, device platform, notification preferences, and basic technical information needed to deliver notifications and maintain app security.
Camera and photo access
Camera access is used only when an authorized user scans a production-sheet QR code. Photo-library access is used only when the user chooses a store logo or product image to upload. PromoSpirit does not access photos that the user has not selected.
How information is used
Information is used to authenticate users, manage stores and products, process and fulfill orders, communicate with customers and team members, send operational notifications, prevent unauthorized access, provide support, and maintain business records.
Sharing and service providers
PromoSpirit does not sell personal information and does not use app information for third-party advertising. Information may be processed by service providers that support the app, including WordPress and WooCommerce hosting, Expo push notifications, Apple notification delivery, payment and shipping providers, and other services enabled by The Creative Promo. These providers receive only the information needed to perform their services.
Data retention and security
Information is retained for as long as needed to operate PromoSpirit, fulfill orders, meet accounting or legal obligations, resolve disputes, and protect the service. Access is limited by account role and store assignment. Reasonable administrative, technical, and organizational safeguards are used to protect information.
Your choices
Users may decline camera, photo, or notification permissions in iOS settings, although related features will not work. Account holders may request access, correction, or deletion of eligible personal information. Certain transaction records may be retained when required for legal, tax, fraud-prevention, or business-record purposes.
Children
The PromoSpirit app is intended for authorized adults and approved organizational staff. It is not directed to children and does not knowingly offer child accounts.
